Here at MVP Advisors, we’ve used our fair share of year-end fundraising tools. We’ve gathered 11 of our favorites here. And we’ve shared the role they could play in bolstering your next giving season campaign.
Each tool on this list has been tried, tested, and loved by us and/or our clients!
1. A Comprehensive Checklist
Keeping track of all those must-dos before you launch a fundraising effort – especially one as big as your end-of-year campaign – will make anyone’s head spin.
Having a comprehensive campaign checklist on hand guides you and your team in planning everything that needs to be done. A checklist also helps everyone stay on the same page as you move through the planning process.
And a checklist that’s already done for you? Well, that’s even better!

2. A Detailed Calendar
Like a campaign checklist, creating a detailed calendar allows you and your team to keep better track of important dates and to-dos before, during, and after your end-of-year campaign.
In fact, this is one of the year-end fundraising tools that we recommend the most. Because having a calendar helps you visualize when each piece of outreach should go out, as well as important deadlines your team must meet to stay on schedule.

Simply download the calendar, add your own customized dates and to-dos, and hang it up where everyone will see it.
3. A Simple Design Tool
Have a dedicated graphic designer on your team or as a volunteer? Great! You can likely skip this year-end fundraising tool.
But if you don’t have a trained designer available – or if you need to alleviate some of the pressure on them this time of year – adding a simple design tool to your giving season toolbox can be a big help.
It’s important to maintain your nonprofit’s brand, as well as the campaign’s look and feel, across all outreach materials. Crafting engaging images and videos is also an excellent way to stand out from the crowd.
And that means avoiding only using AI tools. While they are quick to use, the end result is often too busy, riddled with errors, and doesn’t stand out.
MVP Recommends: We love Canva! Not only do they offer an excellent free tool for nonprofits who qualify, but they also have several templates, stock images, and more that make designing much easier and faster…even if you don’t have a degree.
Even if you do have a graphic designer (which we highly recommend!), have them load basic templates and branding that others can then edit quickly. Being able to edit smaller things like in-the-moment social media posts yourself frees up your designer’s capacity for bigger projects.
4. A Knowledgeable Printer
Print isn’t dead! We still recommend that many clients include direct mail, thank-you cards, and more in their annual communications strategy and donor engagement funnels. A one-pager about your programs or an impact report are also both great pieces to have on-hand for donor meetings. The list goes on and on!
And for year-end specifically? From your year-end appeal letter to any holiday cards or event invitations, having a knowledgeable printer at your disposal is a must.
MVP Recommends: If you’re strictly looking for a printer, choose an established one in your area.
Building a good relationship with a local printer is priceless. When you need ideas or help with a proof, a great printer can steer you in the right direction while keeping you within budget and on deadline.

While you should still send 1:1 emails through your personal email outbox or via your CRM, having an email marketing platform at your disposal saves you a lot of time and energy when it comes to sending mass fundraising or marketing emails.
Many of these platforms offer easy-to-use templates, segmentation options, personalization features, and more to guide you in building and sending better email appeals, e-newsletters, and other outreach materials. Plus, several offer reporting on open rates, clicks, and other email engagement metrics, which is critical to understanding if your email campaigns are meeting your goals.
MVP Recommends: Our personal favorite email marketing platform is Mailchimp. It’s affordable, user-friendly, and has tons of great features.
In addition to beautiful templates and an easy-to-use email builder, Mailchimp offers detailed reporting, audience tagging capabilities, and tech that tracks the best send times, offers email subject line suggestions, and more.
7. Helpful Social Media Management Software
A solid social media management system should make your life easier. Find one that lets you load your assets, draft content, and schedule posts for each of your social channels in one place, and suddenly you’re saving your team a lot of time and stress.
This is especially true during the busy giving season, when scheduling content in advance becomes a must-do. If you’re a small team – or a team of one – writing and scheduling as many posts as possible in advance frees you up to focus on things you have to do in real time, like making those important donor phone calls.
And, like email marketing platforms, many social media software options compile your social media metrics into one place. This makes pulling reports, evaluating your efforts, and making changes much easier and faster than individually reviewing each channel’s metrics.
MVP Recommends: There are many social media management tools out there at different price points and with different functions. We recommend comparing a few to find the one that works best for you.
One of the platforms we’ve used and loved the most is Later. If you’re a highly visual person, this is likely the option for you, too! Later makes it easy to visualize your entire social media calendar and schedule out posts on Facebook, Instagram, LinkedIn, TikTok, and more, all within the same workflow.
8. An Organized & Updated CRM
When it comes to taking your year-end campaign to the next level, one of the first things we recommend is segmenting your target audiences and personalizing their outreach accordingly.
Before you launch your campaign, we recommend ensuring your data is fully organized and up to date. This will make segmenting, pulling accurate lists, and tracking donor engagement that much easier in the moment.
That’s what makes a quality customer relationship management (CRM) system one of the most helpful year-end fundraising tools. When you put a CRM to work, you don’t have to spend hours manually checking and updating your donor data and contact information.
Plus, a CRM is a great place to log notes about donor interests and interactions. This way, you (and other members of your organization) will just have to pull up their profile to see these details in the future.
Extensive CRMs today also often allow you to engage with your donors directly from the platform, and many are either already or can be integrated with your giving pages, event ticketing forms, and other tools, further improving your data-tracking process.

Looking to decrease donor drop offs and increase completed donations? You need a fast and secure donation form among your year-end fundraising tools.
A whopping 63% of donors prefer giving online with a debit or credit card – and this number is only expected to grow. So, having a quality fundraising page with a high-functioning giving form is a must!
Keeping your donation form short and sweet helps. You should only collect the information you really need, and donors should be able to complete their gift in as few clicks as possible. The more they need to do to give, the more likely they are to leave before donating!
